How MOSAIQ AI LLC collects, uses, protects and shares information when you visit our website or work with us.

This Privacy Policy applies to the website, forms, scheduling tools, communications and managed AI implementation services provided by MOSAIQ AI LLC ("mosAIQ," "we," "us" or "our"). It does not replace a separate services agreement, data-processing agreement, business associate agreement or other written agreement that applies to a client engagement.
We may collect information you provide directly, including your name, company, title, email address, telephone number, appointment details, project requirements, messages, files and other information submitted through our forms, chat, email, telephone or meetings.
We may also collect technical and usage information such as IP address, browser and device type, pages viewed, referring pages, timestamps, approximate location, cookie identifiers and interactions with the site. Our scheduling, form, chat, analytics, hosting and security providers may collect similar information on our behalf.
During an engagement, a client may authorize us to access business systems, records, prompts, documents, communications, customer or patient information, transaction data and workflow logs. We process that information only to provide, secure, support and improve the contracted services, and as otherwise directed or permitted by the client agreement and applicable law.
Clients are responsible for having the rights, notices, consents and lawful basis needed to provide information to us and to connect third-party systems. Unless specifically agreed in writing, do not submit regulated, highly sensitive or special-category data through the public website or general chat.
Our services may use third-party AI models, cloud platforms, automation tools and software providers. Depending on the approved architecture, information may be transmitted to those providers to generate, classify, summarize, retrieve, route or act on content. We select and configure providers based on the engagement, available controls and client requirements. No AI output should be treated as guaranteed, error-free or a substitute for required professional judgment.
We do not use a client's confidential workflow data to train a general-purpose model for unrelated customers unless the client expressly agrees in writing. De-identified or aggregated operational information may be used to secure, measure and improve our services where permitted by contract and law.
We may share information with service providers and subcontractors that support hosting, security, communications, scheduling, forms, analytics, payment processing, integrations and AI functionality; with professional advisers; in connection with a merger, financing, acquisition or sale; or when reasonably necessary to comply with law, protect rights and safety, investigate misuse or enforce agreements.
We do not sell personal information for money. We do not disclose client confidential data to advertisers. Some website technologies may be considered "sharing" or targeted advertising under certain state laws; where applicable, you may request to opt out.
We and our providers may use essential, functional, analytics and security cookies or similar technologies. Browser settings can limit cookies, although parts of the site may not function correctly. We honor legally required privacy choices where applicable.
We use Google Analytics 4 and the Meta (Facebook) Pixel to measure site usage and advertising performance. These tools set cookies or similar identifiers in your browser. You can opt out of Google Analytics using the Google Analytics opt-out add-on, and manage Meta ad personalization through your Meta ad preferences.
We use reasonable administrative, technical and organizational safeguards appropriate to the nature of the information and the services. No transmission, storage system or AI service can be guaranteed completely secure. Clients should use approved access controls, least-privilege permissions, secure credentials and human review for sensitive actions.
We retain information for as long as reasonably necessary for the purposes described here, to provide services, maintain business and security records, comply with legal obligations and resolve disputes. Engagement-specific deletion, return and backup rules may be stated in the client agreement. Residual copies may remain temporarily in protected backups or logs.
mosAIQ is not automatically acting as a HIPAA business associate, financial institution, law firm or other regulated professional merely because you contact us. We will handle protected health information or similarly regulated data only when the required written agreement, safeguards, scope and system configuration are in place.
Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction or an opt-out from certain processing. We may need to verify your identity and may retain information where permitted or required by law. Authorized agents may submit requests where applicable.
Our website and business services are not directed to children under 13, and we do not knowingly collect personal information from them through the public site.
Information may be processed in the United States and other countries where our providers operate. Those locations may have different privacy laws. Where required, we use appropriate contractual or legal transfer mechanisms.
The site may link to or embed services operated by third parties, including scheduling, form, chat, video and social platforms. Their privacy practices are governed by their own notices, and we are not responsible for their independent conduct.
We may update this Privacy Policy as our services, providers or legal obligations change. The revised version will be posted with a new effective date. Material changes may also be communicated through reasonable additional notice.
